AGENDA • Introductions • Goals of tonight’s training – Agendas – Minutes – Consent Agendas – Other duties • Handouts – Official CAPTA job description – Sample agenda – Sample minutes ORGANIZATION • The Recording Secretary’s goal is to keep the Board cool, calm, and collected like Joe Cool. RESPONSIBILITIES Responsibilities of Recording Secretaries include: • Attend training • Gather any materials from your predecessor • Build Agendas for your meetings • Create a Consent Agenda for your Association meetings • Keep concise minutes for each meeting • Create and print out sign in sheets for all meetings • Sign off on bank statements and payment authorizations RESPONSIBILITIES • Bring to all meetings: – Your bylaws (yes, you will refer to them!) – Minutes from past meetings (your full Minute book!) – Red pen/pencil for corrections – Attendance/sign-in sheet – Paper for ballots BUILDING AN AGENDA • Work with your President to determine your process of sending a Call for Agenda Items • Gather all requests including any motions to be made – Request motions in writing ahead of time to avoid confusion and ensure proper wording per Robert’s Rules – If money is involved in the motion, include the amount and the budget line/name item • Build the Agenda using links to all reports. You do not need a complete verbal report from each person in attendance!
