As a federal contractor the University of Virginia is required to keep accurate records of those persons who apply for employment. This applicant tracking tool is provided such that hiring managers/search chairs and other search committee members can accurately record, and communicate to HR representatives, all aspects of the screening, interview and selection process.

This workbook contains sheets for tracking applicant status information, documenting reference checks, and provides applicant status definitions. The workbook should be submitted to the HR representative for use in keying applicant status information into the applicant tracking system.

The applicant tracking tool is not a required document for the search process, but is provided to ensure effective communication between hiring managers and HR representatives, to educate committees on the type of information they should be documenting throughout the hiring process, and provide a standardized tool for recording reference checks. Departments may keep the applicant tracking tool as part of the search file, but the system must be updated to reflect the final status for all applicants.
