Effective July 1, 2021, the Council on Domestic Violence and Sexual Assault (CDVSA) requires all subaward recipients to provide a monthly report of expenditures of their state-funded awards. State-funded awards include all General Fund Victim Service Awards, Community Readiness (CR) and Community Based Primary Prevention Programs (CBPPP), Battering Intervention Programs (BIP), and Prison Battering Prevention (PBP) awards. These reports are due on the 15th following every monthly reporting period and need to be emailed to CDVSA.Grants@alaska.gov. if the 15th falls on a weekend or holiday then they are due the following state business day.
This monthly expenditure report does not need to be an accurate reconciliation of your accounts but rather a snapshot of expenditures recorded so far in your accounting system. This report is a tool to monitor spending performance and is not expected to be perfectly accurate. When using this form there are three columns to complete:
1. The Subaward and Match Budget categories need to match the signed Grant Agreement or the most recently approved Budget Adjustment Agreement (BAR);
2. The Year-to-Date (YTD) expenses should be an accumulation of all prior monthly expenditures.
3. The Monthly expenses for the subaward and match only need to be a “snapshot” from your accounting system. They do not need to be complete monthly reconciliations.
These monthly expenditure reports do not replace the Quarterly Financial Reports (QFR). The QFRs are still required and are expected to be quarterly reconciliations of accounts.
