         Overview
The purpose of this document is to provide general assistance to faculty/departmental staff in the completion of the
Programme Code Approval Form. If you have a question that is not covered by these guidelines, please contact the
Systems and Data Team (studentlifecycle-systemsdata@strath.ac.uk) prior to submitting the form. We will endeavour
to answer any questions but it may be necessary for us to direct you to other colleagues in relation to queries
         outwith our expertise.
         Approval dates
Please indicate the date that the new programme was approved by the relevant Faculty committee (if not already
granted, subsequent Senate and ARRG approval must be sought at the next available opportunity). Please also
indicate the date that the tuition fees were approved by the Fees Strategy Group (this information may be obtained
         from your Faculty’s Planning Team.
         Section 1 – Programme Details
 Request submitted by – Enter the name of the person submitting the request.
 Date submitted - Select the date the request is being submitted.
 Programme Faculty – Select the faculty responsible for the delivery of the programme from the dropdown
                list.
 Programme Department – Select the department responsible for the delivery of the programme from the
                dropdown list.
 Classification – Select Undergraduate or Postgraduate from the dropdown list.
 Nature of Study – Select Taught or Research from the dropdown list. If ‘Research’ is chosen, you must
indicate whether or not students on the new programme will be required to undertake the PG Cert RPD
programme by checking either the Yes or No box.
 Programme title – Please ensure this is entered correctly as there are restrictions to changes that can be
made to programme titles retrospectively. The maximum number of characters permitted is 65 (including
spaces and punctuation) and should not include the attainment.
 Programme Commencement – Indicate the first session the programme will be offered. Programmes will be
rolled forward to future sessions unless we are advised otherwise.
 Mode of Study – Programmes can be delivered on either a full-time or part-time basis and must comply with
Scottish Funding Council definitions of both. Simply put, full-time study involves an average of at least 21
hours study a week for at least 24 weeks per year otherwise the programme should be classed as part-time.
 Mode of Delivery – This denotes how the programme is delivered. Select the appropriate value from the
                dropdown list.
 Location – This indicates where the programme is delivered. Most programmes requiring attendance are
delivered on the John Anderson campus. However, some will be delivered at other UK Higher Education
Institutions (HEI) or even in other countries. Where this is the case the HEI or country must be specified. ‘Off
Campus’ should be selected for Distance and Online programmes.
 Start and End dates – The majority of programmes follow the standard academic session teaching dates as
per the University’s Calendar of Dates. Exceptions to this are programmes that begin early or mid-session,
for which you must provide the relevant start and end dates. If you are entering non-standard dates, please
contact the Systems and Data team prior to submitting the form.
 Year of Entry – Please check the relevant box/boxes for ALL years that admission to the programme is
permitted. For example, if admission is only permitted to year 1 of the programme, check the Year 1 box. If
advanced entry is also permitted to year 2, check both the Year 1 and Year 2 boxes.
 Adviser of Studies – Provide the name of the member of staff who will be responsible for approving and/or
                amending student’s curriculum via Pegasus.
 JACS codes – Please provide the relevant JACS code(s) for the programme. A minimum of 1 and maximum of
3 codes should be provided. A full list of JACS codes can be found at the HESA JACS webpage. Please note
that the JACS coding system will be replaced by the HECoS coding system from session 2019/20.
 ATAS approval – Please indicate whether the programme is one for which international students require
Academic Technology Approval Scheme (ATAS) approval. Information on the scheme can be found at
                www.fco.gov.uk/atas.
 HECoS codes – The Higher Education Classification of Subjects (HECoS) coding system will replace JACS from
session 2019/20. HECoS is used to describe the subject area(s) of a programme and is vital in supporting
internal and external reporting requirements (e.g. HESA reporting, NSS/Graduate Outcome cohort
identification, ATAS clearance requirements, compilation of league tables, etc.). A minimum of 1 and a
maximum of 5 codes (though generally no more than 3) together with their applicable percentage values
must be indicated on the PCAF form. The total percentage must equal 100 and no one subject code may be
less than 5%. Further information on the HECoS coding system may be found at HESA’s HECoS webpage.
Section 2 – Attainments offered for admission and/or registration
 A section should be completed for every version of the programme that is to be made available for admission
and/or registration purposes (e.g. one section for MSc full-time, another section for MSc part-time).
Complete as many as required. If there are insufficient sections available, please provide the same
information for additional versions in your email when submitting the form.
 Available for – Please indicate whether this version should be made available for admission and registration
or registration only. Programmes that are set as available for registration only are those to which a student
may be transferred down/up and for which continued registration is required (i.e. not for exit award
                purposes).
 Attainment – Please select as appropriate from the list of values.
 Mode of Attendance – Please indicate whether the version is for full-time or part-time study.
 Mode of Delivery – Please select as appropriate from the list of values.
 Location – Please select as appropriate from the list of values.
 Duration of Study – Please select as appropriate from the list of values. The values listed represent the
standard durations published in the University Regulations. If the programme being requested is part-time or
does not follow the standard, please indicate the appropriate minimum and maximum in the boxes provided
(in years for UG programmes and in months for PG programmes).
 Fees – Please indicate the approved fee for each type as approved by the Fees Strategy Group. For
programmes longer that one year, it will be assumed that this fee is payable for all years of the programme
and is subject to increase in subsequent academic session. If the tuition fee arrangements differ from this,
please provide further information in your email when submitting the form.
Section 3 – Additional fee information
 Fee charging basis – Please indicate whether tuition fees are to be collected on a “programme” or “modular”
basis. Tuition fees for programmes charged on a “programme” fee basis are levied annually at registration.
This is how the majority of programmes are set up. Tuition fees for programmes charged on a “modular”
basis are levied as each class is loaded to the student’s record. Such programmes are sometimes known as
                flexible/open access programmes.
 Fee band – The values in this field describe how the programme is delivered relative to the type of teaching.
 Fee terms – This relates to the HESA classification of a programme and is required by the Scottish Funding
Council. A full description can be found a.
 Major Source of Funding – This indicates the primary source of funding for the programme. This field is not
necessarily the main source of finance as it excludes the tuition fee element. In the majority of cases, the
source of funding will be the appropriate funding council. The predominant source of funding should be
selected where there is more than one source.
 Deposit – Please indicate whether non-visa applicants for the programme are required to pay a deposit
before their place is confirmed. Please note Tier 4 visa applicants are automatically required to pay the
relevant visa deposit and would not be charged a further deposit. Before completing please check with your
Faculty Office whether a non-visa deposit is required. If so, and the amount differs from those available in
the list, please contact the Systems and Data Team prior to submitting the form.
Section 4 – Attainments offered ONLY as exit awards
 Please provide details of any attainments that should be made available as exit awards only (i.e. there is no
requirement for students to be transferred and registered on these programmes, they are for award
                purposes only)
 Attainment – Please select as appropriate from the list of values.
 Exit Award title – If the title of the exit award being indicated is different to the programme(s) being
requested for admission and or/registration, please enter it in the box provided.
